Fall sports rosters are set, PTOs are planning fundraisers, and school clubs are already asking about spirit wear. If you wait until the week before the first game or the first day of school to order, you will be stuck with rush fees or an empty box. Here is how to plan back-to-school spirit wear the right way, whether you are outfitting a booster club, a classroom, or a whole athletic department.

Start With the Deadline, Not the Design

Most schools and teams work backward from the wrong end. They pick colors and logos first, then panic when they realize production takes longer than expected. Flip that order. If jerseys need to be on backs by the first scrimmage, or spirit shirts need to sell at Meet the Teacher night, mark that date first and count back at least two to three weeks for design approval, proofing, and production. Screen printing runs, especially larger ones, need lead time to mix ink and burn screens. Embroidery takes even longer if a new logo has to be digitized. Build the calendar around the deadline and everything else falls into place.

Match the Method to the Order

Schools and teams usually need a mix of decoration methods, not just one. Screen printing is the right call for large orders of the same design, like a grade-wide field day shirt or a full team's practice tee. Embroidery is worth the extra cost on polos, hats, and jackets that coaches, staff, or booster club officers will wear for years, since stitched logos hold up to washing far better than a printed one. DTF transfers are the better option for smaller runs, player names and numbers, or last-minute additions like a new student joining the roster mid-season. Knowing which method fits which order keeps costs down and keeps you from over-ordering just to hit a print minimum.

Plan for More Than T-Shirts

Spirit wear season is not just about the shirt sale table. Coaches want embroidered polos and quarter-zips they can wear to away games. Booster clubs want hats and bags for fundraising tables. Front offices want branded lanyards or folders for open house nights. PTOs often want a simple sticker or magnet as a low-cost giveaway that still gets the school name in front of families. Building all of this into one order, instead of scattering it across separate requests throughout the fall, usually saves money and cuts down on the back-and-forth of approving art multiple times.

Get Sign-Off Before You Print

Nothing slows down a school order faster than a logo that has not been approved by an athletic director, principal, or district office. If your team or club is using an official school mascot or wordmark, confirm you have the current, approved artwork before sending it to any print shop. Vector files (AI, EPS, or high-resolution PDF) print cleanest and avoid the fuzzy edges that come from stretching a logo pulled off a website. If all you have is a low-resolution image, say so up front — a good shop can usually recreate it, but that takes an extra design step you will want to account for in your timeline.

Work With a Shop That Understands School Timelines

We work with schools, travel teams, and booster clubs across Poughkeepsie and the Hudson Valley every fall, and the orders that go smoothest are the ones where someone reaches out in August instead of the week before the first home game. We can handle screen printing, embroidery, DTF, and stickers under one roof, which means one point of contact instead of juggling three vendors for one order.
