If your school, booster club, or rec league is waiting until August to order spirit wear, you're already behind. Screen printing and embroidery orders take time to move through design approval, production, and delivery, and every print shop in the Hudson Valley gets slammed the closer it gets to the first day of school. Here's what to know before you place your back-to-school order.
Why July Is the Right Time to Order
Most schools and teams wait until they have final headcounts before ordering, which pushes everything into a tight window in late August. The problem is that screen printing requires burning screens for each design and color, and that setup work doesn't shrink just because your deadline did. Ordering in July, even with an estimated headcount, gives us room to get your artwork approved, order blanks in the right sizes, and print without rushing. If you run a PTO, booster club, or coach a fall sports team, now is when you want to lock in your design.
Spirit Wear and Team Uniforms: Screen Printing vs. Embroidery
For spirit wear sold to families, screen printing is usually the better call. It's cost-effective at higher quantities, holds up well on cotton and blend t-shirts, and works for bold, colorful mascot designs. For coaches' polos, staff jackets, or anything that needs to look sharp for years, embroidery is worth the extra cost. It won't crack or fade the way a print can, and it reads as more professional on outerwear and hats.
- Screen printing: best for student spirit shirts, event tees, and large-quantity orders
- Embroidery: best for coach and staff apparel, hats, and anything that needs to last multiple seasons
When DTF Transfers Make Sense
Not every order fits the screen printing timeline. If you need a small run, a design with a lot of colors or gradients, or you're not sure exactly how many shirts you'll sell until registration closes, DTF transfers are the better option. There's no screen setup, so we can turn around a 15-shirt order for a small club just as easily as a 150-shirt order for a full spirit wear program. It's also a good fit for last-minute additions, like a new player who joins the roster after the main order already shipped.
Working With School Budgets and Booster Clubs
We know most school and team orders go through a PTO, athletic department, or booster club budget, which usually means a purchase order, a specific logo file, and sometimes a school-mandated color palette. Send us what you have, even if it's a low-resolution logo pulled from a website. We'll clean it up, get it print-ready, and send a proof before anything goes into production. If your organization needs an invoice or W-9 for reimbursement, just ask.
What We Need From You to Get Started
To keep your order moving, send us:
- Your logo or design file, in the highest resolution you have
- An estimated quantity and size breakdown
- Your target delivery date
- Garment style preferences, if you have them, or ask us for recommendations
We work with schools, sports teams, and community organizations across Poughkeepsie and the wider Hudson Valley every back-to-school season, and the shops that order early always have an easier time than the ones that wait.
